Notice to Gift Recipients
Last updated: 3 November 2026
You are probably reading this because someone has ordered a gift for you from Quiet Rose and we have sent you an email about it. This notice explains why we have your email address, what your choices are, what the person who ordered the gift can and cannot see, and what happens to your information. You do not have to pay anything, create an account or accept anything. The decision is entirely yours.
1. Your choices at a glance
You have three options, and you do not have to explain any of them to anyone.
- Accept the gift, and give the delivery details on your private page.
- Decline the gift. You can also block future gifts sent to that email address.
- Do nothing. We send one reminder after 48 hours, and the gift stays open in case you change your mind.
2. Why we have your email address
A buyer entered your first name and email address when placing an order. We did not obtain them from any other source, and we do not buy lists of names or addresses. We use them to offer you the gift, and for nothing else unless you decide to go ahead.
We cannot check how the buyer knows you, and we cannot check who controls an email address. If this message was not meant for you, or if the name is not yours, you can simply ignore it or decline, and you can let us know at support@quietroseproject.com.
3. Who runs Quiet Rose
Quiet Rose is the trading name of a private individual, and not of a company. In this notice, “we” and “us” mean that person, together with anyone acting on that person’s behalf in running the shop. We sell flower gifts on quietroseproject.com, and we reply to messages at support@quietroseproject.com within 2 business days.
4. How to recognise a genuine invitation
Invitations come from gifts@quietroseproject.com. They say that a gift is waiting for you and give the sender name entered by the buyer and a private link. They do not say what the gift is, and they do not give the price or the buyer’s note, which travels with the gift. If the buyer has suggested a day, the invitation mentions it, and you remain free to choose another.
You will never be asked to pay anything or to give card details, either in the email or on the private page. Nothing is payable at the door. If a message or a person connected with a gift asks you for money or for a password, please do not respond, and let us know.
5. About the sender name
The sender name is whatever the buyer typed, and it can be a first name or a nickname. We do not verify it, so it may not be the buyer’s full or legal name, and we cannot promise that it tells you who the person really is. Using a name to pass as someone else is against our rules. If a name seems false or makes you uneasy, you can decline, and you can tell us if you wish.
6. If you accept
On your private page you will see the sender name. What the gift is stays a surprise, and you will not see the price. If you have an allergy, please mention it in the note for the courier, and we will pass it on. If you accept, you give us the following details.
- A name for the delivery.
- A phone number for the courier.
- A city from the list: Kyiv, Odesa, Lviv, Kharkiv, Dnipro or Vinnytsia.
- A street and house number, and an apartment or office if there is one.
- A day, from the next day up to 14 days ahead.
- A time window: 9:00 to 13:00, 13:00 to 17:00 or 17:00 to 20:00, Kyiv time.
- If you wish, instructions for the courier, of up to 300 characters.
6.1 The address does not have to be your home
You can give any address a courier can reach in one of those six cities, such as a workplace, as long as you can receive the gift there. If you are in another place, we cannot deliver, and you can decline.
6.2 After you accept
You receive a confirmation by email. Until the order has gone to the florist, you can change your details on the private page, or decline after all. After that, please write to support@quietroseproject.com if something needs to change, and we will do what we reasonably can. The courier may call you on the number you gave.
Couriers pause during air-raid alerts and curfews, and delivery then moves to the next possible time. The Delivery Policy explains more.
7. If you decline or do not answer
You do not have to give a reason. If you decline, the buyer is refunded in full and the matter ends there, and nothing further is sent to you about that gift. If you do not answer, you receive the one reminder and nothing more, and the gift stays open until you answer. You can close it yourself at any time by declining on your private page.
If you decline, the buyer is told only that the gift could not be delivered. We do not say that you declined. Of course, a buyer who knows you may draw conclusions of their own, and we cannot prevent that.
8. Blocking future gifts
When you decline a gift, you can also choose to block future gifts sent to that email address. If you do, no further invitations are sent to it, whoever places the order, and any such order is refunded to its buyer in full. The buyer is not told about the block.
For this purpose we keep only a keyed hash of your email address, which is a scrambled value that lets us recognise the address if it is entered again, without keeping the address itself in the list. The block has no automatic expiry. If you would like it lifted, or if you want to set one up but no longer have the invitation, write to support@quietroseproject.com from the address concerned.
9. What the buyer can and cannot see
This is what the buyer can and cannot see about you. It holds whichever way you decide.
- The buyer never sees your address, your phone number or your courier instructions.
- The buyer is not shown the day you choose. Once delivery has taken place, we email the buyer to say that the gift has been delivered, without giving the date you chose.
- If you accept, the buyer is told that you have accepted, and later that the gift has been delivered. The buyer is never told the day you chose.
- The buyer entered your first name, and it appears in the buyer’s order page and emails for as long as the order data is kept.
- We will not give the buyer any of your delivery details, even if asked.
10. If a gift is unwelcome or worries you
You can decline and block without explanation, and you can do so even if you know the person who sent the gift. If you feel that a gift or a note is part of unwanted contact, harassment or pressure, please tell us at support@quietroseproject.com. We can look at it under the Acceptable Use and Gifting Policy and refuse further orders where we have reason to believe that they are unwanted. We will not tell the buyer that you have contacted us, unless the law requires it.
We are a small shop and not an emergency service. If you believe that you are in danger, please contact the local emergency services or the police.
11. The note
A buyer can write a note of up to 400 characters. It is not in the invitation and it arrives with the gift, so you see it only if you accept. If you receive a note that is threatening or abusive, please tell us.
12. Allergies and safety
Chocolates can contain nuts, milk and gluten, and flowers and foliage can affect people with allergies. If you have concerns, the page Product Information and Allergens has more information, and you are free to decline or to pass on an item once delivered.
13. If something arrives damaged or wrong
You can write to support@quietroseproject.com within 48 hours of delivery with a photo. We will replace the item or refund it to the buyer’s card. You do not need to know the price or the order number. Telling us the name used for the delivery is enough. The Refund Policy has the detail.
14. Keeping your private link safe
The link in your email opens your private page without a password. Anyone who has it can see the page and can act on the invitation, so please do not forward it. Your address is not displayed there once you have entered it, but the chosen day and time are.
15. Your information
Your first name, your email address and your delivery details are stored encrypted. They are shared only with those who need them: the florists and couriers who carry out the delivery receive your delivery details, and Cloudflare provides hosting, storage and email sending. We do not pass your details to Stripe, and we do not pass your delivery details to the buyer. We do not sell your data, and we will not send you marketing without your consent.
Your data is erased 30 days after the order closes, meaning after it has been delivered or refunded. If you have not answered, the order is still open and your first name and email address are kept until it closes; you can close it at any time by declining. What stays is the order record for accounting, without your name, your email address, your delivery details, the sender name or any proof of delivery.
Depending on where you live, laws such as the GDPR, the UK GDPR, Ukraine’s personal data law or the Philippine Data Privacy Act may give you rights over your data, such as seeing it, correcting it, erasing it or objecting to its use. You can exercise those rights by writing to support@quietroseproject.com. The Privacy Policy gives the full detail.
16. If you are under 18
Our shop is for buyers who are 18 or over, and we have no way of telling the age of the person an invitation reaches. If you are under 18 and have received an invitation, please talk to a parent or guardian, who can write to us at support@quietroseproject.com.
17. Your legal position
Accepting a gift does not make you a party to the contract between the buyer and us, and you take on no obligation under it. You have no duty to pay, to report back or to thank anyone. If you have a problem, please see Complaints and Disputes or use the contact page.
